AI + automation, built for small business
Dare to imagine it.
We'll find a way.
Most AI automation is sold off a menu: pick a feature, bend your business to fit it. We start from the thing you actually want to happen, then work out the shortest way to get there, whether that is an existing product, something custom, or both.
- Live in days, not months
- The plan and the price are free
- Built in Perth, runs anywhere
- 16:20 A photo of a filled-in form handwritten, snapped on a phone
- Reads it handwriting, quantities, hours
- Prices it against your own rate card
- Raises the invoice straight into your accounting
Invoiced the same afternoon. Nobody retyped a thing.
- 02:13 Overnight enquiry one of thirty-one that week
- Works out what it is new work, complaint, supplier, spam
- Judges it urgency, value, who it suits
- Routes and replies with the context attached
On the right desk, already answered, before anyone opened a laptop.
- 09:26 A decision with no written rule you just know the answer
- Learns how you call it from the last few hundred
- Applies the same logic not a generic guess
- Flags what it is unsure of the odd ones still reach you
Handled the way you would have handled it. No product does this one.
- 21:41 Missed call after hours, nobody at the desk
- Texts back inside nine seconds
- Qualifies what they need, how urgent
- Offers times read from your calendar
Booked Tuesday 9:00 am. Confirmation and reminder scheduled.
- 11:02 A job closes in one system and lives nowhere else
- Reads the record fields nobody can export
- Maps it across into the shape the other one wants
- Keeps both in step so neither drifts again
The double entry that quietly ate an hour a day. Gone.
01 / The easy end
The simple half, out of the way first
None of this is clever, and parts of it already exist as products. That is worth knowing: where something off the shelf does the job, we will say so and set it up properly rather than bill you to rebuild it. Most businesses land on a mix. Watch one run, then look at the half that has no product at all.

The ones that don't come out of a box
This is the half that matters. Most of what we build has no product name: two systems that refuse to talk, a judgement call that only lives in one person's head, something that technically works but quietly eats a day a week. Nobody ships that in a box. Pick the industry closest to yours, then imagine the version of it nobody has built.
Yours isn't listed? Even betterFront desk drowns in intake, recalls and referrals while clinicians wait.
-
Intake read and filed
Six-page forms pulled apart, checked for gaps, into the practice system before the appointment.
-
Recalls that actually go out
Due patients found, contacted and rebooked without a spreadsheet in sight.
-
Referral letters drafted
Written from the consult record in your voice, waiting for a clinician to approve.
Everything happens away from a desk, and the paperwork follows you home.
-
Job card to invoice
Photographed on site, priced off your rate card, invoiced before the van is back.
-
Compliance packs
Certificates and safety docs built from the job record, not retyped at 9pm.
-
The schedule that reshuffles itself
A cancellation fills from the waitlist without anyone ringing around.
The work is judgement. The wrapper around it is mostly document handling.
-
Documents read at volume
Contracts, statements and reports summarised with the risky bits surfaced first.
-
Engagement admin
Letters, onboarding and conflict checks prepared from the details you already hold.
-
Deadlines that chase themselves
Lodgement and review dates tracked, escalating before they become a problem.
Client work is fine. It is everything wrapped around client work that hurts.
-
Briefs turned into scopes
A rambling email becomes a scoped proposal with your rates and your exclusions.
-
Timesheets chased quietly
Nudged, collected and reconciled without you being the bad guy every Friday.
-
Client reports assembled
Pulled from the tools you already use, written up, sent on the day you promised.
Thin margins, high volume, and nobody spare to sit at a computer.
-
Bookings and no-shows
Confirmed, reminded and refilled from the waitlist without tying up the pass.
-
Ordering off actual usage
Par levels watched, suppliers compared, orders raised against your rules.
-
Roster gaps filled
A call-out goes to the right people in the right order until someone says yes.
Margin leaks in a hundred small places nobody has time to check.
-
Supplier invoices audited
Every bill checked against what you were quoted. The discrepancies come to you.
-
Stock kept in step
Counts, reorder points and supplier pricing reconciled while the shop is shut.
-
Reviews answered properly
Every review read and replied to in your voice, escalated when it actually matters.
02 / In an ideal world
The same Tuesday,
once it runs itself.
One day, two versions of it. The first will feel familiar. The second is not a fantasy: every fix in it is ordinary work that already runs somewhere. Watch the day repair itself, then go one further and imagine the version of yours that nobody has built yet.
- 06:40 Seventeen unread. None of them opened. Already sorted. Two actually need you.
- 09:15 Three calls missed while you were with a client. Three answered. Two booked straight in.
- 11:30 A quote you keep meaning to write. Drafted and waiting on your yes.
- 14:00 Supplier invoice paid without anyone checking it. Overcharge caught before it went out the door.
- 17:45 Yesterday's paperwork, still not entered. Photographed once. Filed and invoiced.
- 21:30 Catching up at the kitchen table. Again. Not working.
the whole offer, in three words
If you are game enough to imagine it,
there is usually a way to build it.
The ideas worth building are the ones only you can see, because you are the one living the problem. It does not matter that no product does it, that it sounds far-fetched, or that you cannot name a single piece of software. Describe what you wish happened. We work out whether an existing product already does it, whether it needs building from scratch, or where the line between the two sits, and we tell you which is actually right for you. The plan costs you nothing either way.
03 / How it works
From idea to running system
- 01
Say what you wish happened
Use the form below, or call. Describe it in plain English, the way you would to a mate. No prep, no spec document, and no need to know how it would work.
- 02
Get a plan, not a pitch
Within two working days you get a short plan: whether something existing already does it, what we would build around it, how it works and a fixed price. The plan is free. If it is not worth automating at all, we say that too.
- 03
We build it, you watch it run
Built, then tested against your real jobs and real paperwork before it touches a customer. Every action it takes stays visible on your phone.
04 / Straight answers
Questions owners actually ask
Not seeing your question?
Ask us directly. You'll get a straight answer from the people who would actually build it, not a sales rep working off a script.
vish@catalysthub.com.auMy idea is a bit out there. Can you still build it?
Those are the favourites. The ideas worth building rarely have a product name, so "nothing out there does that" is not a problem, it is usually the point. If a task follows rules, or even a repeatable judgement call, there is a good chance it can be built. Describe it in plain English and we will tell you honestly whether it is worth doing, and what it would take.
Will it sound robotic to my customers?
No. Every assistant is trained on your business: your services, your prices, your tone, the questions your customers actually ask. You review how it talks before it goes live, and a real person can take over any conversation at any time.
What does it cost?
It depends on what we build. Single systems, like missed-call text-back with an assistant that books appointments, start in the low hundreds per month. Bigger tailored workflows are quoted as a fixed price before anything is built. The plan and the price cost you nothing.
Do I need to buy a pile of new software?
No. We build and run the whole system for you on a platform we manage, and we connect the tools you already use, like your calendar and your inbox. You get one system and one monthly price, not ten subscriptions to babysit. Where an existing product genuinely is the best answer for a piece of it, we will tell you and set that up for you too, rather than sell you a build you do not need.
How fast can something go live?
Simple systems can be live inside a week. Larger tailored workflows usually take two to four weeks, including testing against real scenarios before they touch a real customer.
05 / Over to you
What would you build
if nothing was in the way?
Tell us the idea you keep coming back to, or just the thing that costs you sleep, sales and Sunday afternoons. You'll get a plain-English plan: what we'd build, what it costs and what it saves. Free, same-day reply, no obligation.
